The Customer Portal is a separate, customer-facing website where your clients can log in to view their records, download documents, and respond to proposals. It runs on your portal URL and is branded with your company information. Customers don’t need a Novala account — they use their own portal credentials.

What customers can access

Inspection reports

View and download completed inspection reports and findings, including PDF exports.

Invoices

View outstanding and paid invoices. Customers can see amounts, due dates, and payment status.

Compliance documents

Access compliance records and track upcoming or overdue inspection requirements.

Contracts

Review active and historical service contracts and agreements.

Proposals and quotes

View proposals sent to them and respond — accepting or declining — directly from the portal.

Equipment records

Browse their equipment inventory, including inspection history and warranty status for each asset.

Work orders

View scheduled and completed work orders, including technician notes and service details.

Warranties

Access warranty records for covered equipment, including policy numbers and expiration dates.

Service requests

Submit new service requests directly from the portal, which create records in Novala for your team to action.

Grant a customer portal access

You can invite a customer to the portal from two places:

Go to Settings → Users

Navigate to Settings → Users in the left sidebar.

Invite a portal user

Click Invite Portal User and enter the customer’s email address and the company they belong to.

Send the invitation

Click Send Invite. The customer receives an email with a link to set their password and access the portal.
Portal users can only see records associated with their company. They cannot view other customers’ data.

How customers log in

Customers visit your portal URL — provided in their invitation email — and log in with their email and password. If it’s their first time, they’ll use the link in the invitation to set a password before logging in. If a customer loses access, you can resend the invitation or reset their access from Settings → Users.

What customers can do in the portal

The portal is primarily read-only. Customers can view and download their records. There are two exceptions where customers can take action:
  • Proposals: Customers can accept or decline a proposal directly from the portal.
  • Service requests: Customers can submit a new service request, which creates a lead or work order in Novala for your team to pick up.

Branding

The portal displays your company name and logo. To update these, go to Settings → Branding. Changes apply immediately to the portal.
Include your portal URL in invoices, reports, and email communications so customers know where to find their documents without needing to contact you.
